The 9-Step Commercial Ice Maker Buying Checklist That Would've Saved Me $28,000

I've been handling commercial kitchen equipment orders for 8 years. In that time, I've personally made 14 documented purchasing mistakes, totaling roughly $28,000 in wasted budget. The worst single case was a $6,800 commercial ice maker that failed in month 11 because I ignored water hardness and airflow specs.

After that one, I built the checklist I'll share below. I now use it on every equipment order. If you're buying a commercial ice maker, a low noise commercial freezer, a factory stainless workbench, or anything with custom R290 refrigerant, this will pre-empt the mistakes I paid to learn.

Who this is for: restaurant and bar owners, kitchen managers, facility leads at factories or warehouses. If you're buying a single under-counter unit for a home bar, half of this still applies, but scale the production numbers down.

Step 1: Calculate peak demand before you start looking at machines

My first equipment order was a disaster because I started with "which machine looks nice" instead of "how much ice does this place actually need."

Here's the quick math:

  • Restaurants: about 0.5 lb of ice per food customer
  • Bars: 1–2 lbs per customer
  • 200 covers a night plus bar service = roughly 200–300 lbs/day

Take your peak daily need, multiply by 1.25, and buy a machine that hits that number in an 18-hour production cycle. Don't shop the average day. Shop the Saturday night.

In 2017, I bought an under bar ice maker that produced 65 lbs/day for a bar that needed 150. Within a month, we were buying bagged ice at $4.50 per 20 lb bag. That's about $1,000 a month burned on the gap between my sizing and reality. The smaller machine ended up costing more than the bigger one would've, once I counted the bagged ice and the replacement.

Step 2: Measure the space, including clearance, before you pick a model

I once fit an industrial split ice machine into a 32-inch alcove. The machine was 30 inches wide. A perfect fit, I thought. Then the compressor started overheating within two weeks because the spec sheet called for 4 inches of side clearance for airflow, and I'd filed that under "optional."

The dimensions on the spec sheet are the machine dimensions, not the install dimensions. Add condenser clearance, door swing, and service access to your tape measure. For factory stainless workbench installs, same story: I've had three benches where the undershelf collided with a wall outlet or a plumbing line because I measured the bench and not the wall behind it.

Step 3: Understand what R290 refrigerant actually means

The "custom r290 refrigerant" listings you see everywhere aren't a marketing gimmick. It's the industry's move toward hydrocarbon refrigerants, and it's an EPA SNAP-approved substitute for older HFCs (source: epa.gov). But R290 is essentially propane, which has real installation implications:

  • The charge is sealed and small — usually under 150g in commercial units — but ventilation requirements are stricter than older systems.
  • If the machine goes under a bar counter, check the condenser airflow direction and heat exhaust before you lock in the layout.
The "propane in a fridge = dangerous" thinking is a legacy myth from an era when refrigeration systems leaked routinely. A modern sealed R290 system doesn't leak in normal operation, and the efficiency gain is real.

That's not to say it's the right choice for every install. A large central system might still use a different refrigerant. What matters is that you know which one you're buying and what its clearance requirements are before the unit arrives.

Step 4: Read noise ratings relative to the room, not in absolute terms

"Low noise commercial freezer" is the most-requested spec in my orders, and the most misapplied. A freezer rated at 60dB at one meter is fine in a kitchen or a factory line. It will absolutely drone in a hotel bar or a dining space.

In 2021, I installed two identical freezers side by side — one under a prep counter, one in the open. The unit under the counter sounded twice as loud because the cavity amplified the vibration. Same machine, same noise rating, completely different real-world result.

Here's the thing: match the dB number to the room, not to your ego. In a loud kitchen, a 65dB freezer costs less and you'll never notice it. Behind a bar or in a dining room, pay the premium for sub-55dB. Don't burn money on low-noise specs you can't hear anyway.

Step 5: Stainless workbenches — check gauge, grade, and frame

Factory stainless workbench purchases look simple, and that's exactly where people slip. Two numbers matter:

  • Gauge: 18-gauge with reinforced cross-channels is fine for food-prep. 20-gauge is cheaper but it dents, warps, and eventually bows — especially if anyone rests heavy equipment on it.
  • Grade: 430 stainless is magnetic and corrodes faster. 304 stainless is the food-industry standard for work surfaces. "Stainless" means nothing without the grade.

I went back and forth between a 16-gauge premium bench and a solid 18-gauge mid-range model for two weeks in 2022. Premium offered longevity; mid-range offered $380 in savings. I bought mid-range. Within 14 months, the top had a permanent bow where the cook had been resting a 40-pound mixer.

Looking back, I should have gone premium. The price gap was smaller than the annoyance of a bench that never sat flat again.

Step 6: Test the water before you finalize anything

This is the one almost everyone skips, and it's the most expensive mistake on my list.

Commercial ice makers are constantly wet. Hard water scales up the evaporator, which kills production. I ordered an industrial split ice machine for a facility with 12-grain hard water and skipped the optional filtration. The result: $890 in descaling chemicals, three days of downtime, and a technician visit.

My rule now: anything above 5 grains hardness gets a filtration system on the purchase order. A hardness test strip costs $10–15. The descaling bill was $890. That math is easy.

Also worth knowing: if you're weighing flake vs. cube ice, flakers are significantly more tolerant of hard water. No filter budget? Buy a flaker and save yourself the phone calls.

Step 7: Verify certifications before you pay

This was true 10 years ago when equipment could slip through without listing and inspectors were more lenient. Today, commercial refrigerators and freezers need to be listed to NSF/ANSI 7 (freezers), NSF/ANSI 12 (ice machines), and UL or ETL for electrical safety.

I've seen a restaurant order from a broker who said "they're all the same." The unit arrived with no UL listing, the local health inspector refused it, and it sat in a crate for six weeks while a replacement shipped. No drama if you check the listing number on the certifying body's website first. Takes two minutes.

Step 8: Under-bar ice makers have different rules

Under bar ice maker units are where everything converges: ventilation, noise, and water problems all at once. These typically run R290 and need to breathe. If you're installing under a counter, check where the hot exhaust goes. A remote condenser option pushes that heat out of the tight envelope — worth adding to your shortlist if you have the budget.

Separate point: most under-bar units produce ice and hold it, but they don't necessarily refrigerate the bin at freezing temperatures. If you're storing ice beyond a single shift, you need a dedicated ice bin with its own cold-holding spec. Otherwise that's a health-code conversation you don't want to have.

Step 9: Energy labels need to survive real-world conditions

Energy Star is real and I don't dismiss it. But the rating is measured under controlled conditions. In a hot kitchen with warm incoming water, the machine runs longer to produce the same ice, which can wipe out the efficiency gain.

In early 2024, I had two units side by side in the same client's kitchen: a high-efficiency model and a no-frills older-design unit. Under identical load and water conditions, the "efficient" model actually consumed more per pound of ice because it ran longer trying to hit production targets. The spec sheet claimed better; the power meter disagreed.

So I now look at production ratings and power consumption together, then ask the vendor what the machine does in a 90°F kitchen — not just at standard test conditions.

Common mistakes I still see

  • Buying a machine that produces the right amount of ice but only stores a quarter of it. Minimum storage should be 25% of daily production.
  • Ignoring what happens during a power blip. Does the unit auto-restart, or does it need a manual reset? Behind a bartender, a machine that needs a tech call after a flicker is a machine that costs you money.
  • Accepting "commercial grade" as an answer without a certification number.
  • Choosing the machine based on the brochure instead of the installation conditions.

No ice maker is zero-maintenance, and no freezer is perfect for every room. If your situation is unusual — a food truck, a rooftop install, weird electrical — this checklist gets you halfway. At that point, talk to a commercial refrigeration specialist who's built those before and ask pointedly about fit.

But for the standard restaurant, bar, or factory setup, run these nine checks before you order. It's a lot cheaper than the mistakes I've already paid for.
